Opportunity Description

The Executive Assistant Intern to the CEO provides comprehensive support to the Chief Executive Officer of a leading general contracting firm specializing in the property management space. This role demands a highly organized, detail-oriented, and proactive individual who can manage multiple tasks and projects with discretion and professionalism.
 

Key Responsibilities:

  • Administrative Support: Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements. Ensure efficient time management and prioritize tasks to meet the needs of the CEO.
  • Communication Management: Act as the primary point of contact between the CEO and internal/external stakeholders. Handle correspondence, prepare reports, and ensure clear and effective communication across all levels of the organization.
  • Project Management: Assist, coordinate and oversee projects as assigned by the CEO, ensuring timely completion and adherence to budgetary guidelines. This includes liaising with different departments and external partners.
  • Meeting and Event Coordination: Organize and facilitate meetings, including setting agendas, coordinating logistics, and preparing meeting materials. Support the planning and execution of corporate events and engagements.
  • Research and Analysis: Conduct research on market trends, potential business opportunities, and competitors. Compile data and prepare analytical reports to support strategic decision-making.
  • Financial Management: Assist with budget preparation, expense tracking, and financial reporting. Ensure all financial transactions related to the CEO's activities are handled with accuracy and confidentiality.
  • Stakeholder Relations: Build and maintain positive relationships with clients, suppliers, and partners on behalf of the CEO. Ensure prompt and professional responses to inquiries and requests.

Qualifications:

  • Bachelor's degree in Business Administration, Management, or related field.
  • Exceptional organizational skills and attention to detail.
  • Strong communication and interpersonal skills, with the ability to interact effectively at all levels of the organization.
  • Proficient in Microsoft Office Suite and comfortable learning new software and systems.
  • Ability to handle confidential information with discretion.
  • Strong problem-solving skills and the ability to work under pressure.
  • Flexibility to adapt to changing priorities and manage multiple projects simultaneously.
  • Previous internship experience in Administrative or similar support roles, preferably within the construction or property management industry is beneficial but not required.
  • Excellent ability to communicate in English and Spanish, both verbally and in writing is preferred.

Working Conditions:

  • A hybrid work environment, allowing for both remote and onsite work in Springfield/VA. This position may require occasional travel to project sites or client meetings.
  • Hours are 9am-5pm, Monday through Friday, Including 1 hour lunch break.
