Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our medically based massage therapy practice. The ideal candidate will provide administrative support to ensure efficient operation of the clinic, assist therapists and clients, and maintain a welcoming and professional environment.
Key Responsibilities:
- Greet and assist clients with check-in and check-out procedures.
- Schedule and confirm client appointments using clinic management software.
- Handle incoming calls, emails, and inquiries in a professional and timely manner.
- Process client insurance claims as needed.
- Maintain accurate and confidential client records.
- Process payments and manage billing, including invoices and receipts.
- Assist in maintaining a clean, organized, and professional office environment.
- Order and track office and clinic supplies.
- Support massage therapists with administrative tasks as needed.
- Ensure compliance with HIPAA and other medical regulations.
- Assist in marketing efforts, including social media updates and community outreach.
- Plan and coordinate events related to the practice.
- Manage internal marketing efforts to promote services and client engagement.
Qualifications:
- High school diploma or equivalent.
- Previous experience in a medical office, wellness clinic, or similar setting helpful.
- Proficiency in office management software and scheduling tools.
- Strong interpersonal and communication skills.
- Ability to multitask and work in a fast-paced environment.
- Familiarity with medical billing and insurance verification is a plus.
- Excellent organizational and time-management skills.
